Quick Summary (TL;DR):
For one person with up to 1TB of files, Microsoft 365 Personal is usually the lowest-effort choice if you also need desktop Office. For a household sharing roughly 2TB, Google One Premium is a simple cloud-storage option, while Microsoft 365 Family adds Office apps but now provides 2TB of pooled storage for new subscribers from 8 October 2026—not the old 6TB allocation. Nextcloud on a NASAliExpress price makes sense when you want local control, more flexible capacity, or already own suitable hardware; it is rarely the cheapest new setup for just 1–2TB once disks, two backups, electricity and your time are counted. Using clearly labelled UK illustrative prices, five-year subscriptions cost around £400 for Google One 2TB, £425 for Microsoft 365 Personal 1TB or £525 for Microsoft 365 Family 2TB. Our example new, protected NASAliExpress price costs £1,194 in cash over five years, or £2,094 when modest administration time is valued. These are scenarios, not vendor quotes or performance tests; the fair comparison depends on capacity, users, backup requirements and existing equipment.
At a Glance: What You Actually Get
| Decision factor | Nextcloud on a NASAliExpress price | Microsoft 365 Personal / Family | Google One |
|---|---|---|---|
| Who runs it? | You operate the server, storage and backup. | Microsoft operates OneDrive and associated services. | Google operates Drive, Photos and Gmail storage. |
| Included usable storage | Depends on your disks, RAID and reserved space. | Personal: 1TB; new Family: 2TB pooled. | Plan-dependent; 2TB Premium used here. |
| Multiple users | You create and manage accounts and quotas. | Family: up to six people sharing the new pool. | Storage shareable with up to five additional family members. |
| Document editing | Nextcloud Files; office editing needs a compatible document server/app. | Desktop Word, Excel, PowerPoint and more on eligible plans. | Google Docs/Sheets/Slides via Drive; no Microsoft desktop Office licence. |
| Backups | Your responsibility: data, database, config, off-site copies. | Provider durability and recovery features; separate backup may still be prudent. | Provider durability and recovery features; separate backup may still be prudent. |
| Remote access | VPN or properly secured HTTPS deployment. | Managed internet service and clients. | Managed internet service and clients. |
| Best fit | Technical households, local workflows, >2TB growth, existing NASAliExpress price. | Office-centric users and families. | Photos/Gmail/Drive-centric users and pooled family storage. |
This is a storage-and-collaboration decision, not an apples-to-apples software benchmark. A NASAliExpress price with Nextcloud is a server you must maintain; Microsoft 365 includes licensed productivity software; Google One expands storage across multiple Google services. None is automatically a complete backup strategy.
Important 2026 Change: Microsoft 365 Family Is No Longer 6TB for New Buyers
On 8 October 2026, Microsoft changed new and re-purchased Family and Premium subscriptions to 2TB pooled OneDrive storage, shared by the subscription members. Existing eligible subscribers generally transition at renewal on or after 2 May 2027; an earlier plan change can affect the transition. Microsoft Personal remains a separate 1TB single-user plan. Microsoft says each person’s files remain private unless explicitly shared. This article uses the new 2TB pooled allowance for any fresh five-year purchase, even though older product listings may still say “up to 6TB”. Read Microsoft’s current storage policy and the Family-sharing explanation.
This matters especially to households with three or more people: six members do not each receive a new dedicated 1TB allowance. A household that genuinely needs 3–6TB of shared data must price additional storage or a different plan, not assume the former headline capacity remains available.
Five-Year UK Subscription Costs: Comparable, Not Identical
The Microsoft figures below are from its UK consumer plan page checked in October 2026. The Google One 2TB illustration uses £79.99/year, a publicly reported UK annual rate; Google’s official plan page can display regional or account-specific offers, so confirm the actual checkout price before paying. No future price is guaranteed. All five-year totals assume the same annual rate for five years, uninterrupted service and no promotional discounts.
| Cloud plan | Storage used for this comparison | Annual UK price / assumption | Five years at unchanged rate | Important difference |
|---|---|---|---|---|
| Microsoft 365 Personal | 1TB for one person | £84.99 (official UK listing) | £424.95 | Includes eligible desktop Office apps. |
| Microsoft 365 Family | 2TB shared for new subscribers | £104.99 (official UK listing) | £524.95 | Up to six people; shared storage pool, not 6TB. |
| Google One Premium | 2TB shared | £79.99 illustrative UK annual price | £399.95 | Google Drive, Gmail and Photos share the allowance. |
Google’s published plan structure supports family sharing with up to five additional members; the total paid storage is pooled, not 2TB per person. The exact current price, taxes and promotional offers depend on country and billing route. For a monthly Google rate of £7.99, the equivalent five-year no-change total would be £479.40 rather than £399.95. Use the rate your account actually offers.
| Scenario | Microsoft Personal | Microsoft Family (new) | Google One Premium |
|---|---|---|---|
| One person, 600GB and needs Word/Excel | Strong value; 1TB sufficient. | Usually unnecessary. | Fine for storage, but no desktop Office licence. |
| Four people, 1.6TB combined | Four separate plans would be needed for individual allowances. | 2TB shared, with Office for eligible users. | 2TB pooled; suits Google ecosystem. |
| Family, 3TB combined | 1TB is insufficient. | New 2TB base is insufficient. | 2TB is insufficient. |
| Single 6TB media archive | Insufficient without expansion. | Insufficient without expansion. | 2TB plan insufficient; larger tier or NAS required. |
Why the Capacity Comparison Can Mislead
“2TB of cloud” is a storage quota shared with whatever the provider counts against it. Google One covers Drive, Gmail and Google Photos; Microsoft’s allocation is subject to the account’s cloud-storage rules. A two-bay NAS with two 4TB disks mirrored is about 4TB of raw mirrored capacity before formatting and filesystem overhead, not 8TB. And a RAID mirror does not give you two independent backups: accidental deletion, ransomware and filesystem damage can affect the live pool.
For a fair five-year comparison, first estimate the dataset (files that must remain available), growth, version history and independent recovery copies. The example below protects a household with 1.5TB today, growing to no more than about 2TB over five years. The NAS mirror has additional space for growth and operational headroom; the cloud examples use their included quota. If your data grows past the chosen cloud plan, reprice it.
| Storage quantity | Example | Why it matters |
|---|---|---|
| Current important data | 1.5TB | Photos, documents and other irreplaceable files. |
| Five-year planned dataset | 2TB | Must fit after normal growth and account overhead. |
| NAS primary pool | Two 4TB HDDs in mirror (roughly 4TB usable before overhead) | Room for files and versioning, but not an off-site backup. |
| Rotating backup media | Two external 4TB HDDs | Each should independently hold the selected backup set plus practical headroom. |
| Cloud allowance | 1TB Personal or 2TB Family / Google One | OneDrive Personal cannot fit the full 2TB example. |
Five-Year Nextcloud-on-NAS Cost Model: Every Assumption Visible
A typical mistake is comparing a cloud subscription with only the empty NAS chassis price. The following is a worked budget, not a retail quotation: all hardware prices are illustrative round-number UK assumptions that must be replaced with current retailer prices and exact model compatibility before buying. It assumes a new, supported two-bay NAS with adequate RAM and container capability, two 4TB NAS-rated disks in a mirror, two independently rotated USB backup drives, a UPS, and a modest spare-disk reserve. No affiliate commission, resale value or claimed performance is included.
| Cash item | Assumption | Five-year cash allowance | What is / is not included |
|---|---|---|---|
| NAS enclosure | One compatible two-bay unit | £300 | Verify CPU architecture, RAM, container support and software maintenance. |
| Primary NAS disks | Two 4TB drives at £100 each | £200 | Mirror gives about one disk’s usable capacity, not 8TB. |
| Offline backup media | Two 4TB external drives at £110 each | £220 | Rotate one off-site; verify backup capacity and restores. |
| UPS | One small compatible UPS | £100 | Runtime and battery-replacement needs vary; no replacement included here. |
| Disk replacement reserve | Illustrative contingency | £100 | A reserve, not a forecast of failure. |
| Electricity | 25W average; £0.25/kWh; 24/7 for five years | £273.75 ≈ £274 | Illustrative measured-at-wall average, not a device specification. |
| Total cash | No subscription or domain added | £1,193.75 ≈ £1,194 | Excludes broadband upgrades, optional cloud backup, domain and replacement UPS battery. |
The energy calculation is straightforward and reusable. Substitute a measured whole-system average from a plug-in meter, including disks and the UPS overhead where relevant:
5-year electricity = (average watts / 1000) × 24 × 365 × 5 × £/kWh
25W example = 0.025 × 43,800 × £0.25 = £273.75
15W example = 0.015 × 43,800 × £0.25 = £164.25
40W example = 0.040 × 43,800 × £0.25 = £438.00
For a 25W average, electricity is about £54.75 per year. A NAS with several drives, an inefficient UPS, heavy indexing or other 24/7 workloads can use more. A sleeping NAS may use less but can interrupt always-on sync and remote access. Our separate NAS electricity-cost guide explains why measured idle and workload consumption matter more than a CPU’s nominal TDP.
Administration Time Changes the Result
Nextcloud software itself can be used without a per-user consumer cloud-storage subscription, but someone must apply security updates, check disk alerts, rotate and test backups, manage certificates or VPN access, handle user accounts, and recover from failures. Even when a vendor NAS interface makes this easier, the work does not disappear.
| Time assumption | Five-year hours | Illustrative hourly value | Imputed time cost | Cash plus time |
|---|---|---|---|---|
| Hobbyist: time valued at £0 | 60 | £0 | £0 | £1,194 |
| Light maintenance: 30 min/month | 30 | £15 | £450 | £1,644 |
| Regular maintenance: 1 hour/month | 60 | £15 | £900 | £2,094 |
| More demanding: 2 hours/month | 120 | £25 | £3,000 | £4,194 |
These are scenario assumptions, not measured maintenance averages. Your first setup, upgrades, migrations, storage failures and recovery tests may take additional time. Conversely, someone who already runs a NAS, has established backups and enjoys maintaining it may value the incremental time differently.
What If You Already Own a NAS?
The economics change dramatically when the NAS is already running for Home Assistant, media storage or another workload. You should not charge the entire original NAS purchase again to Nextcloud if the hardware is a sunk cost. Calculate incremental disks, backup capacity, additional electricity, paid services and maintenance time.
| Existing-NAS scenario | Illustrative incremental cash over five years | Interpretation |
|---|---|---|
| NAS already running 24/7, spare space, verified off-site backup already exists | Potentially near £0 before additional labour | Not a universal claim: there may still be storage, maintenance or backup costs. |
| NAS has space, but needs two rotating £110 backup drives | £220 plus any incremental electricity and consumables | Can be less than a five-year 2TB cloud subscription if maintenance is acceptable. |
| NAS must run 24/7 solely for Nextcloud | Add the measured incremental power and UPS impact | Do not treat power as free because the enclosure was already purchased. |
| NAS needs larger disks and remote backup service | Price disks, migration and off-site service explicitly | Often erases the apparent advantage over cloud at small capacities. |
This is why “Nextcloud is always cheaper” and “cloud is always cheaper” are both poor conclusions. New hardware and professional time favour managed cloud at 1–2TB. Existing equipment, local-network performance, privacy preferences and datasets beyond consumer cloud tiers can favour self-hosting.
Backup and Recovery: A NAS Mirror Is Not a Backup
The official Nextcloud backup documentation identifies the data directory, database, configuration, and relevant custom apps and themes as components to preserve. Backing up only the files folder may leave you without a working instance. Nextcloud All-in-One (AIO) includes a backup and restore workflow, but you still need independent copies and the backup password stored safely.
- Primary: Nextcloud on mirrored NAS disks. Mirroring addresses one disk failure, not user error or compromise.
- Local independent copy: versioned backup to a separate USB disk or another device, not simply another folder on the same pool.
- Off-site copy: rotate a disconnected disk to another location or use a separately priced cloud/object-storage destination.
- Restore test: periodically restore sample files and test a complete service recovery in an isolated environment.
- Security: use strong unique credentials, multifactor authentication where supported, timely updates and the least exposed network path practical.
For a structured plan, see A 3-2-1 NAS Backup Plan: USB Drive, Second NAS and Cloud. That guide covers independent copies and recovery checks rather than treating RAID as data protection.
Do Microsoft and Google Make Backups Unnecessary?
No. Managed services take away much of the server and disk administration, and both have recovery features, but sync is not the same as an independent, immutable backup. If a file is deleted, overwritten or corrupted and that change synchronises, the provider’s retention and version history become important. Microsoft documents a 30-day OneDrive restore window for eligible Microsoft 365 subscribers; permanent deletion and account restrictions have limitations. Google Drive likewise has trash and version/recovery features subject to its rules. Keep a separate offline or independently controlled copy of truly irreplaceable files.
The cloud prices in the subscription table do not include a second independent backup service. The NAS model does include two rotating USB copies. Therefore the cash totals intentionally show a more protected NAS configuration, but are not equal in backup resilience. If you add independent backup to the cloud path, include its media, software and labour; if you remove the NAS backup drives to reduce its price, disclose the resulting protection gap.
Practical Setup: What Running Nextcloud on a NAS Involves
Nextcloud can run on a suitable Linux host or a NAS with a supported container environment. The official Nextcloud All-in-One project bundles the application with database, caching, update and backup tooling. It requires a suitable Docker environment and host integration; do not assume every low-cost ARM NAS, locked-down app store or container UI supports the same deployment. Check the exact NAS model, architecture, available memory, container privileges, network ports and filesystem paths before purchase.
- Confirm the NAS supports the intended deployment route: vendor package, standard container stack, AIO or a separate mini PC. Read the exact model documentation rather than relying on a product-family name.
- Use an SSD or suitable fast storage for the application and database where practical; keep large user files on resilient capacity storage. Avoid moving live database files casually between mounts.
- Decide whether the service is LAN/VPN-only or internet-facing. For public access, configure a supported HTTPS domain, reverse proxy or AIO’s supported exposure path and keep it patched.
- Set sensible per-user quotas and retention; confirm what happens when the primary storage pool is nearly full.
- Create a backup schedule that captures the database and data consistently, not just an uncoordinated file copy.
- Test from a phone on mobile data, a laptop on another network, and a fresh restore before relying on the service.

The Hidden Constraint: Home Broadband Upload Speed
Cloud services are designed for internet access; a self-hosted NAS usually serves remote users over your home upload connection. Local 2.5GbE or 10GbE does not fix a slow upstream broadband link. If your home upload is 20Mb/s, the theoretical maximum is 2.5MB/s before protocol overhead. Uploading a 10GB file to a remote client would take at least about 67 minutes at that sustained rate; real transfers can be slower. A 100Mb/s upload link raises the theoretical limit to 12.5MB/s, still well below local 1GbE transfer rates.
Remote transfer time (seconds) ≈ file size in bits ÷ sustained upstream bits/s
10 GB decimal ≈ 80,000 Mb
At 20 Mb/s: 80,000 / 20 = 4,000 s ≈ 67 min (best case)
At 100 Mb/s: 80,000 / 100 = 800 s ≈ 13 min (best case)
Also account for CGNAT, ISP port restrictions, outages, power cuts, router reliability, dynamic IP addressing and travel. A VPN can improve exposure control but does not increase bandwidth. Managed cloud storage often wins for frequent sharing with people outside your home.
Security, Privacy and Control: What “Private Cloud” Really Means
| Question | Nextcloud on your NAS | Microsoft 365 / Google One |
|---|---|---|
| Who patches the application? | You or your administrator. | The provider operates the service; you maintain account/device security. |
| Where is the primary data? | Your chosen disks and any backup destinations. | Provider-managed infrastructure and account-selected region terms. |
| Does it automatically mean end-to-end encryption? | No. Features and deployment choices need checking. | No blanket E2EE guarantee for all content and features. |
| Can you access files during an ISP outage? | Local access can continue if power and LAN work. | Only locally cached/synchronised copies may be available. |
| Who responds to ransomware? | You must detect, isolate and restore. | Provider offers security/recovery controls, but user action still matters. |
| Who is accountable for backups? | You, entirely. | You remain responsible for deciding whether independent backup is needed. |
Self-hosting gives greater control over where data resides, but also makes you the security team. Avoid promising “complete privacy” simply because a server is in the cupboard: remote endpoints, mobile apps, email integrations, backup destinations and external office editors may still process data elsewhere. Conversely, a managed cloud account is not a substitute for multifactor authentication and sensible sharing permissions.
How to Choose for Real Households
Choose Microsoft 365 Personal if…
- You need desktop Word, Excel, PowerPoint and Outlook and have no more than 1TB of cloud files.
- You want predictable managed access from Windows, macOS and phones without server maintenance.
- You value OneDrive integration more than a locally hosted web interface.
Choose Microsoft 365 Family if…
- Multiple people genuinely use the Office apps and the new shared 2TB quota fits their combined needs.
- You have checked the post-8-October-2026 storage policy rather than relying on old 6TB marketing.
- You want managed collaboration without maintaining NAS containers and public-facing services.
Choose Google One if…
- Your household mainly needs extra space for Google Photos, Gmail and Drive.
- Pooled storage across family members is more useful than separate 1TB allowances.
- You do not need Microsoft desktop Office licences and prefer Google’s app ecosystem.
Choose Nextcloud on a NAS if…
- You already own a suitable NAS, have spare capacity and can maintain independent backups.
- You want local access, flexible storage expansion, self-hosted collaboration and control of the server.
- Your dataset or retention policy does not fit consumer cloud plans, and you have budgeted for disks, power, off-site recovery and maintenance.

Frequently Asked Questions
Is Nextcloud free on a NAS?
The self-hosted Nextcloud software can be used without a per-user consumer storage subscription, but the NAS, disks, electricity, backups and your time are not free. Additional paid support, office services or storage may be relevant depending on your deployment.
Can Nextcloud replace Microsoft 365 completely?
It can replace parts of the file-sync, sharing, calendar and contact workflow. Full Microsoft Office document fidelity, desktop app licences, co-authoring behaviour and mail services are separate questions. If you rely on complex Excel workbooks or desktop Office features, test a representative file set before switching.
Does Microsoft 365 Family still provide 6TB?
For new subscriptions from 8 October 2026, Microsoft’s current policy states 2TB pooled. Existing eligible subscribers generally transition at renewal on or after 2 May 2027. Older pages and retail packaging may show the previous 6TB headline; verify your specific subscription and current Microsoft support guidance.
Is Google One 2TB per person?
No. A Google One 2TB paid plan provides a shared storage pool for the family group, not 2TB for each member. The free individual storage allocation and sharing rules are described in Google’s help material; account-specific benefits can vary.
Should I use RAID 1 instead of backups?
Use a mirror if it suits your uptime and disk-failure requirements, and maintain independent backups. RAID cannot undo accidental deletion, ransomware encryption, theft or a site-wide incident.
What happens if the NAS is switched off?
Nextcloud stops serving remote files unless clients already have local copies. Sync resumes when the server and network return. Cloud services remain reachable independently of your home power and internet, although they can also experience outages.
Verdict: Best Value Depends on What You Already Own
For a new 1–2TB household setup, paying roughly £400–£525 over five years for managed storage is hard to beat on cash cost and convenience, especially if Microsoft Office is useful. For a new, properly protected NAS, our transparent illustrative budget is about £1,194 in cash before valuing administration. But if a NAS already exists, storage is spare, backups are solved and local control matters, the incremental cost of Nextcloud can be much lower. Do not choose solely from the price of an empty enclosure or an outdated cloud-storage headline.
